Aasaanop

Terms for Hospitals, Clinics, Labs & Pharmacies

Version 1.1 · Last updated 2026-10-22

Effective date: 15 October 2026

These terms ("Facility Terms") are an agreement between Aasaanop Technologies Private Limited ("Aasaanop") and the hospital, clinic, diagnostic lab or pharmacy ("Facility") that registers on the Aasaanop portals. The person accepting them confirms they are authorised to bind the Facility. A signed order form, where one exists, prevails over these terms.

1. The service

Aasaanop provides software for running the Facility (OPD queues, appointments and slots, patient records, billing and GST, inpatient admissions, lab and pharmacy management, staff roles, WhatsApp messaging and reports) and lists the Facility in the Aasaanop patient app so patients can book.

2. Your licences and responsibilities

The Facility must hold and keep valid all registrations and licences its work needs, for example:

The Facility is solely responsible for:

3. Fees and payments

4. Patient data: data processing terms

  1. Roles. For records the Facility creates about its patients, the Facility is the Data Fiduciary and Aasaanop is its Data Processor under the Digital Personal Data Protection Act, 2023.
  2. Instructions. Aasaanop processes those records only to provide the service, on the Facility's documented instructions (these Facility Terms and the settings the Facility chooses), and not for its own purposes. Aasaanop never sells them.
  3. Confidentiality. Aasaanop staff who can access patient data are bound by confidentiality and get access only when needed (for example support the Facility asks for).
  4. Security. Aasaanop maintains reasonable security safeguards: encryption, role-based access enforced in the database, audit logs, encrypted backups with tested restores, and data stored in India.
  5. Sub-processors. Aasaanop uses the service providers listed in its Privacy Policy and will tell the Facility before adding a new one that processes patient records.
  6. Breaches. Aasaanop will notify the Facility without undue delay, and in any case within 24 hours of becoming aware of a personal data breach affecting its patients, and will help it meet its own notification duties.
  7. Rights requests. Aasaanop will help the Facility respond to patients' requests to access, correct or erase their data.
  8. Retention and return. Aasaanop keeps records for as long as the Facility needs them and the law requires. When the Facility leaves, it can export its data (CSV and PDF; FHIR where available) for 60 days, after which Aasaanop deletes it unless the law requires otherwise.
  9. Facility's duties. The Facility gives patients the notices and collects the consents the law requires for its own processing (including WhatsApp messaging consent), and uses patient data only for care, billing and lawful purposes.

5. WhatsApp

6. Staff and roles

The Facility decides which staff get which role. Aasaanop enforces those roles but the Facility is responsible for who it gives access to.

7. ABDM

Aasaanop is not yet ABDM certified (see Data Security & ABDM). The Facility can record its HFR ID and its doctors' HPR IDs. ABDM features will be offered once certified.

8. Acceptable use

The Facility must not:

9. Term and termination

These terms run while the Facility has an account. Either party may end them with 30 days' written notice, or immediately for a serious breach. Fees already due remain payable, and patients' paid bookings are honoured or refunded.

10. Liability and indemnity

11. Law

Indian law applies. Courts at Guntur, Andhra Pradesh have jurisdiction.
